The Department of Molecular Virology and Microbiology at Baylor College of Medicine is devoted to discovering new knowledge and producing innovative advances in the microbial sciences and to using that understanding to combat disease. Our interests include microbial pathogenesis, host responses to infection, vaccine development and evaluation, infectious agent disease associations, and the role of the human microbiome in health and disease. Faculty members within the department are nationally recognized leaders in a variety of areas, including the microbiome, viral gastroenteritis, respiratory viruses, emerging infectious diseases, and antimicrobial resistance. The Molecular Virology and Microbiology department serves as the academic home for 15 Professors, 7 Associate Professors, 16 Assistant Professors, 5 Instructors, 107 staff, and an additional 14 fellows and 39 graduate students.

 

The Department Administrator serves as the administrative leader and senior management advisor to the Department Chair. The primary responsibilities of this position are to generate, manage, and interpret strategic information; provide financial management and accountability for all Department resources; and to provide administrative infrastructure for faculty, staff, and trainees. These responsibilities cover each of the Department's primary missions of patient care, education, and research. The Department Administrator is responsible for all administrative operations of the Department including finance, research administration, and human resources. This role is dynamic, providing administrative leadership in multiple BCM entities beyond the Department. In addition, this leadership role helps to maintain BCM's values by creating a culture of professionalism; an effective learning environment for all; and a commitment to diversity and inclusion. The Department Administrator reports to the Department Chair and Chief Operating Officer of the College.  This position is eligible for an annual performance-based bonus.

Job Duties

Strategic Planning and Implementation:

  • This position is critical to the Department’s long-term success and includes active leadership of and engagement throughout the strategic planning activities for the Department. 

Operations Management:

  • All operational activity for the Department flows through this position. Whether directly performed, assigned to divisions, or delivered by operational partners, all Department operations are the responsibility of the Department Administrator. 

Academic Program Administration:

  • The education programs include, but are not limited to, Undergraduate Medical Education (UME), Graduate Medical Education (GME), Continuing Medical Education (CME), Allied Health and Graduate School of Biomedical Sciences. BCM education programs are accredited by several accreditors, it is vital to ensure BCM programs stay in compliance with all standards and regulations.

Research Administration:

  • The Department’s research portfolio includes clinical trials and basic science labs. Research programs are one of the hallmarks of our success. 

People Management:

  • The Department Administrator is responsible for multiple direct reports to direct finance, research administration, education administration, human resources, and the clinical mission.

Budget and Financial Management:

  • The Department Administrator leads complex Departmental finances and budget functions.

Space and Facilities Administration:

  • The Department has clinical trial, educational, and research activities occurring at multiple sites.

Change Management/Process Improvement/Project Management:

  • The Department Administrator drives continuous improvement in all domains.

Minimum Qualifications

  • Bachelor’s degree.
  • Eleven years of directly related experience with four years of supervisory experience.

Preferred Qualifications

  • Master’s degree and seven years of directly related experience with four years of supervisory experience may also be considered.
  • Progressively responsible experience in administrative management, with significant experience in managing a complex academic organization.
  • Intermediate to Advanced Microsoft Office Skills (Excel, Outlook, PowerPoint, Word).
