Administrative Specialist

The Spadoni College of Education and Social Sciences at Coastal Carolina University seeks a qualified Administrative Specialist in the Department of Sociology.

Duties will include, but are not limited to:
· Handles various correspondence with faculty, staff, current and prospective students, alumni, parents, and the general public;
· Coordinates prospective student visits, disseminates departmental information; schedules room reservations;
· Maintains and organizes shared departmental space, equipment, supplies, keys, etc.;
· Coordinates and performs fiscal management activities, includes maintaining departmental budgets and accounting functions; initiating and organizing budget requests; responding to budget audits;
· Performs procurement activities not limited to: purchasing of basic departmental supplies, accurately tracks all department purchasing, maintains P-card monthly statements adhering to monthly deadlines;
· Coordinates and performs personnel hiring (submits e-forms via People Admin, Datatel Workflow, or paperwork forms to hire staff teaching dual, teaching associates and faculty overloads, Maymester and Summer hiring);
· Prepares and oversees all hiring and salary paperwork for faculty teaching in the department;
· Assists the chair by performing Datatel functions, change advisers, change of major/minor, assign advisers, make student folders;
· Assist chair with collection and storage of documents and reports, including annual reports, program evaluations, faculty evaluations, syllabi and class scheduling;
· Maintains and updates student records, assists with transfer and petition issues, assigns faculty advisors, registers students, monitors and assists probation and suspension students; and
· Performs other duties as assigned.

Requirements: A high school diploma or equivalent (GED) and two (2) years of relevant job experience is required.
Equivalent education, training, and experience will be considered. A bachelor’s degree and experience in an academic setting is preferred.

Administrative Specialist II (AA50/61122944/FTE-S00705P), full-time position with benefits. SC State Pay Band: 03. Salary range: $23,885.00 (minimum) to $34,042.00 (midpoint). Normal work hours are 8:00 a.m. to 5:00 p.m., Monday through Thursday, and 8:00 a.m. – 12:30 p.m., on Friday. Must be flexible to meet the special scheduling needs of the university.
Required Qualifications
High school diploma. Two (2) years of relevant job experience. Equivalent education, training, and experience will be considered.
Preferred Qualifications
Bachelor’s degree. Experience in an academic setting.
Required Licensure and/or Certification
Knowledge, Skills & Abilities
The employee must have excellent organizational, interpersonal, and communication skills. Strong typing and computer skills are required, including proficiency with various software packages (MS Word and Excel, email, internet, ability to learn Datatel); must have good time management and office management skills and be able to work cooperatively with diverse groups. Must be able to maintain and track budgets; must be able to coordinate paperwork for student records, hiring, purchasing, travel and grant transactions. Must be able to communicate effectively and work cooperatively with faculty, staff, students, parents, and the general public.
