Assists the Executive Secretary to the Board in the operational management of the Board of Regents' Office.




  • Acts on behalf of the Executive Secretary to the Board in their absence or as needed by facilitating Board activities and requests, including individual Regent requests, and by serving as a reliable communicator and source of information. 

  • Provides support to the Board in dealing with a range of issues, as appropriate. Gathers, researches, analyzes, and/or studies information affecting University-wide, intradepartmental, or interdepartmental operations.

  • Serves as the Boards primary point-of-contact in researching and responding to their inquiries related to the University's Strategic Plan.

  • Under the direction of the Board, consults and develops stakeholder relationships including the State Board of Regents, state and federal committees, and other external groups.

  • Responsible for oversight and direction of the Policy Office and staff.

  • Directs the review, research, and update of Board of Regents policies; communicates policy updates verbally and in writing through designated channels. 

  • Assists with engaging with academic leaders and stakeholders in consensus and dissemination information related to policy development.

  • Independently researches and prioritizes incoming issues and determines appropriate course of action, referral, and/or response.

  • Provides materials and information necessary to the Board to make informed decisions and fulfill its fiduciary and oversight responsibilities which may include researching topics to support decision making. 

  • Ensures information is legally compliant and is promptly disseminated in a concise manner.

  • Coordinates the development and preparation of Board of Regents and Committee meeting agendas and minutes as needed. Meets with Board and/or Committee Chair to review minutes, action items, and future agenda topics. Assists in maintaining formal records and archives for the Board of Regents.

  • Reviews and documents processes within the Office of the Board of Regents to identify and implement efficiencies within the structure.

  • Coordinates special projects on behalf of the Board of Regents, as assigned.

  • Performs various duties as needed to successfully fulfill the function of the position.


 

Job Requirements

Required Education: Master's degree, AND: 




  • 84 months of experience directly related to the duties and responsibilities specified.



Skills:




  • Broad knowledge and understanding of the university and Board of Regents policies and procedures 

  • Ability to exercise sound judgment and full discretion in working with and on behalf of members of the Board of Regents

  • Ability to work independently; possess sound decision-making skills with an understanding of when to seek direction from the Board of Regents

  • Advanced verbal and written communication skills and the ability to work with a wide range of constituencies in a complex community

  • Records maintenance and organizational skills

  • Information research, analysis, and evaluative skills

  • Ability to regularly work non-traditional hours



Certifications:




  • None 



Advertised Physical Requirements:




  • Must be able to work in sitting position. Ability to engage in repetitive motion. Standard Office Work Environment.



Departmental Preferences:




  • Advanced degree preferred: Ph.D. or JD.



Supervision: Staff supervision to be determined once hired.
