Summary

The Division of Pediatric Nephrology/Renal Services is seeking an Assistant Coordinator, Business Operations to serve as the administrative lead for the Renal office front desk. Primary responsibilities will include answering incoming calls at the front desk, and redirecting callers or taking messages. The position will also help support day-to-day operations by scheduling appointments, maintaining conference room calendars, and providing administrative support to faculty, staff, and learners.

Job Duties

  • Greets and directs visitors. 
  • Answers high-volume telephone calls and redirects callers or takes messages as necessary.
  • Sorts and distributes incoming and outgoing mail. Receives letters, packages etc.
  • Delivers and collects documents for signatures. 
  • Generates and maintains filing systems. Keeps updated records and files.
  • Monitors office equipment. Places and facilitates work orders as necessary. 
  • Monitors office and break room supplies. May place orders for office and break room supplies. 
  • Assists with coordinating special events, conference rooms, and meetings. 
  • Assists with scheduling appointments and maintaining conference room calendars.
  • May prepare memos and general correspondence as directed.
  • May provide additional clerical and data entry assistance as needed.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.

Preferred Qualifications

  • Two years of relevant experience, administrative assistance in an academic or healthcare setting preferred.
  • Proficiency in Microsoft Office.
