Clerical Specialist II (Per-Diem)

The candidate is primarily responsible for providing data/information entry through into Transfusion Medicine’s donor/patient computer information system (Safetrace) related to blood product collection for Donor/Apheresis Center and mobile blood drives, and for serving as Registrars for blood/platelet donors presenting at Blood Donor Center. As Registrar, serves as the initial customer service contact with all donors, answers donor questions relating to donation process, and ensures all initial donor information is accurately entered into computer system. Also responsible for assisting with recruitment of whole blood and platelet donations and on-site conversion of whole blood donors to platelets. Resolves routine donor issues and complaints. Determines when issues need to be transferred to Charge Nurse or Manager of Donor Operations. Responsible for file and chart maintenance, running daily reports for distribution to various functional areas, and ensuring completeness of records to be entered into system.

As a successful candidate, you will:

  • Serves as the initial in-center customer service contact for all blood/platelet donors. Responsible for computer registration of donors and resolves routine donor issues/complaints. When necessary, gets assistance of Charge Nurse or Donor Center Manager. Treats internal and external customers with dignity and respect in a friendly and professional manner.
  • Prepares daily reports from the Safe trace system (Transfusion Medicine Information System) for reconciliation of data entry.
  • Generates daily logs, interim reports and product calculations and files in donor charts.
  • Inserts IR into platelet donor charts in preparation for TMP (Transfusion Medicine Physician) signature.
  • Files whole blood donor history cards and platelets charts in appropriate and accurate manner.
  • Provides extensive data entry into Safetrace for all products collected both in DAC and on mobile blood drives within designated time frames.
  • Downloads/uploads laptop computer systems before and after blood drives.
  • Prepares donor charts, maintains related filing system daily.
  • Serves as Registrar for all blood donors coming in to donate blood components. Periodically attends mobile blood drives to serve as Registrar.
  • Provides support to charge nurses and staff in Donor Room with duties such as answering incoming calls, ordering and printing blood product labels, posting deferrals and/or memos in Safetrace, and paging CS Techs when needed.
  • Reviews daily logs for HLA testing of specific donors to ensure tubes have been drawn and charts are appropriately documented.
  • Proactively monitor workflow in donor room to provide administrative support whenever needed.
  • Deliver blood products to blood bank when needed.
  • Maintains current safety certifications annually.
  • Maybe required to input computer data on offsite blood drives as assigned.
  • Flexibility with work hours depended on collection schedules for both DAC and mobile drives.
  • Assists with recruitment of whole blood and platelet donors as needed
  • Reviews pertinent department standard operating procedures annually and as needed.
  • Provides coverage in Canteen/Donor Recovery area when needed. Assist nursing staff with lifting of donors/patients in case of adverse donor reactions.

Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan. Practices a high level of integrity and honesty in maintaining confidentiality.

Performs other related duties as assigned or requested.

Your qualifications should include:

  • High School or equivalent
  • Two years in an office setting, preferably in a medical office or healthcare institution.
  • Two years experience in computer data entry.
  • CPR Certification

Pay Rate: $21.49 - $30.08 / hour
