Summary
The Senior Coordinator, Program Management provides direction, leadership and day-to-day management of educational & departmental activities to include administrative support to the directors of the fellowship training program & chief fellows, & educational coordination between attending physicians, fellows, residents, medical students and institutional and regulatory administrative offices. The coordinator must demonstrate initiative, resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions & underlying management structure of the department of the larger institution in organizing & independently prioritizing work & ensuring orderly & timely workflow.
Job Duties
Accreditation responsibilities:
- Ensures fellow compliance with established Accreditation Council for Graduate Medical Education (ACGME & GME and program policies & procedures.
- Prepares, manages & coordinates internal GME & national ACGME-conducted accreditation site visits for PHM Fellowship Program.
- Maintains web-based ACGME accreditation surveys, including collecting & collating appropriate information from various sources throughout the campus.
- Assists in the development of new procedures in response to new or revised policies issued by the governing agencies.
Program support and development responsibilities:
- Manages fellowship program budget, coordination of pre-trip authorizations & reimbursement requests through Concur and SAP.
- Assists Program Director in program development appropriate to fellowship program requirements.
- Maintains Pediatric Hospital Medicine (PHM) Fellowship Program Pedialink Roster.
- Communicates with interested fellowship candidates.
- Assists with screening of applications.
- Assists with planning of interviews, including scheduling dates, securing conference rooms/office spaces as needed, etc.
- Schedules and organizes rank meetings.
- Assists with all fellows' on-boarding and new Fellows' orientation.
- Assists with evaluation, distribution, reports and management in MedHub.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor's Degree.
- Two years of office administrative experience.
- Proficiency in Microsoft Excel.
- Knowledge of Success Factors, SAP & Concur.
- Ability to Work independently.
