Job Description

Summary

The Michael E. DeBakey Department of Surgery at Baylor College of Medicine seeks a clinical operations manager to contribute to the strategic direction for clinics in the Michael E. DeBakey Department of Surgery by recommending and implementing operational changes and process improvements. The identified candidate will develop clinic goals and lead process improvement activities. The manager will oversee the daily clinic operations and complete projects related to clinic efficiency, patient satisfaction, and reporting, among others.
 
This role will collaborate with physician leadership, service line leaders, and leaders in other departments and across Baylor College of Medicine to improve processes, complete specialized projects, and execute initiatives within the Department. The position supports all of the Department of Surgery for clinical operations. This position will help direct new initiatives, work with others on existing initiatives and maintain and improve clinical operations.

 

 

Job Duties

Clinical Operations

  • Strategizes and implements clinical improvement plans through collaboration with faculty and Department/College/Hospital leadership. (10%)
  • Implements action plans to develop and operationalize new clinics and expand growth to new service lines in existing clinics. (10%)
  • Assists with management and streamlining clinical operations for all department of surgery divisions: general surgery, thoracic, cardiothoracic, cardiothoracic and circulatory support, abdominal transplantation, bariatrics, plastic surgery and CfAST. (10%)
  • Identifies and resolves complex issues relating to clinical operations. (5%)
  • Manages and develops patient referral pathways, appointment scheduling, faculty template changes, and decision tree modifications. (5%)

Ambulatory Operations – 30% 

  • Develops clinical operating policies and procedures; ensure compliance with established practices. (10%)
  • Provides quality metrics and efficiency, along with ambulatory reporting (patient statistics, visits, room utilization, and staff utilization) for the Dept. (5%) 
  • Designs and improves upon patient experience and physician engagement programs, including Patient Satisfaction, MyChart Activation, Clinical Procedures and Best Practices/Clinic Efficiency. (5%)
  • Collaborates with BSLMC to improve surgery scheduling processes and address road blocks. (5%)
  • Develops and produces reports on key clinic performance indicators, including clinic volume and patient mix. (5%)

Administrative and HR Operations – 30%

  • Co-Leads Department Clinical Practice Committee with Vice Chair for Clinical Affairs. Prepares material for monthly meeting, run meeting, and follow up on action items from meeting. Action items may lead to large projects. (15%)
  • Makes strategic recommendations based on financial data to ensure financial management and accountability of the clinics. (10%)
  • Manages experienced professional level employees and clinical staff to include defining work responsibilities and prioritization, setting performance development plans and goals, and conduct annual performance evaluations. (5%)
  • Responsible for staff development and retention, including assisting in the hiring and terminations of clinical staff.
  • Ensures that practice operations and team members are knowledgeable of and in compliance with applicable regulatory, licensing and accrediting agency standards.
  • Oversees staff moral and engagement such as awards and recognition, work anniversaries, and milestones.

Minimum Qualifications

  • Bachelor’s degree in a related field.
  • Four years of relevant experience. 

Preferred Qualifications

  • Experience with Epic.
  • Excellent communication and people skills.
  • Proven organizational and leadership skills.
  • Skilled in resolving issues and conflicts.
