Under the direction of the Associate Director of University Catering , manage the student employee and full and part-time workforce; including but not limited to job descriptions, scheduling, training, record keeping, documentation of attendance and disciplinary actions, and performance reviews; additional unit functions include but are not limited to supervising the purchasing of food and supplies; food and supplies inventory; communicating and reporting using computer software; ensuring employee efficiency and productivity; ensuring industry standards for sanitation, safety, and service of food; conducting disciplinary investigations and issuing disciplinary actions; processing grievances; conducting counseling and performance review then preparing clear, concise documentation; preparing and executing detailed plans and arrangements; contributing to menu planning; ensuring unit and cash security; leading and serving on unit and department teams; and performing duties of employees in emergencies.

Job Function:

Under the direction of the Associate Director of University Catering , manage the student employee and full and part-time workforce; including but not limited to job descriptions, scheduling, training, record keeping, documentation of attendance and disciplinary actions, and performance reviews; additional unit functions include but are not limited to supervising the purchasing of food and supplies; food and supplies inventory; communicating and reporting using computer software; ensuring employee efficiency and productivity; ensuring industry standards for sanitation, safety, and service of food; conducting disciplinary investigations and issuing disciplinary actions; processing grievances; conducting counseling and performance review then preparing clear, concise documentation; preparing and executing detailed plans and arrangements; contributing to menu planning; ensuring unit and cash security; leading and serving on unit and department teams; and performing duties of employees in emergencies.

Minimum Education:

Associates degree from an accredited institution in food or culinary management, hotel, restaurant, institutional and/or hospitality management (including food and beverage management) or equivalent, or an associate’s degree from an accredited college or university or equivalent plus three years of comparable job experience (exclusive of teaching).

Preferred Education:

Bachelor’s degree from an accredited institution in food or culinary management, hotel, restaurant, institutional and/or hospitality management (including food and beverage management).

Minimum Experience:

Three years of direct or related work experience (exclusive of teaching) to include extensive catering experience; Supervisory experience.

Preferred Experience:

Skilled in oral and written communication; basic computer skills and in the use of Microsoft Windows®, Microsoft® Word, and Microsoft® Excel.

Duties and Responsibilities:

  • Manage the student employee workforce including but not limited to the following: prepare, post, and distribute job descriptions and work schedules in a timely manner following approval by the Associate Director; ensure schedules meet budget goals; maintain an accurate list of all employees, phone number, and addresses; follow university policies as to maintaining confidential employee information; communicate student job vacancies to the Ball State University Dining Administrative Office in a timely manner; ensure attendance records are accurately maintained and
    absences are recorded on student employee personnel records; issue discipline to employees who violate attendance and other work rules; maintain all records as required; scrutinize, correct, and approve student employee payroll.
  • Apply appropriate managerial skills to oversee and supervise all employees including but not limited to the following: prepare, post and distribute job descriptions and work schedules in a timely manner followed by the approval of the Associate Director; follow university policies as to maintaining confidential employee information; ensure efficiency and high productivity of employees and excellence in customer service and in the work they perform; ensure equipment is properly used, cared for, and stored; ensure employees practice correct food and equipment handling techniques and maintain proper food temperatures and record keeping as required by the HACCP/ServSafe program; ensure employees maintain standards of sanitation, safety, and cleanliness as required by ServSafe and the Indiana Food Code; train employees in the job skills needed to achieve excellence; issue counseling and discipline according to established rules and procedures; prepare documentation and accurate, unbiased investigative reports for discipline and grievance cases; process employee grievances appropriately; execute employee performance appraisals correctly; demonstrate a commitment to affirmative action and equal employment opportunity for all employees.
  • Support the Associate Director in monitoring food and labor costs using manual and computer records; assist in managing revenues and expenses including but not limited to establishing financial goals; calculating and analyzing food, labor, and other costs; preparing and evaluating financial statistics, and administering appropriate controls as relates to inventories and stock levels, unit security and theft, revenue collections and processing, and waste management.
  • Communicate effectively with customers, peers and subordinates; maintain professionalism in a thorough, detailed, timely, even-handed manner resulting in effective personal contact; attend or conduct shift meetings and relate telephone messages and/or other information accurately and in a timely manner; maintain confidentiality and ethical practices as relates to communications; remain calm, courteous, and in control of all situations and have a positive impact on others; maintain composure at all times, especially under stress; manage disagreements to reach win-win situations and create an environment where all peers, subordinates, and customers are treated with dignity and respect and where university and departmental policies, rules, and regulations are consistently administered.
  • Support the planning of standard and custom menus as well as develop optimum sales mix for University Catering, exhibit creativeness; meet customer expectations and budget; meet all generally accepted menu evaluative criteria (flavor, taste, color, texture, etc.), include consideration of cutting-edge and/or trend setting cuisine.
  • Support with the purchase of food and supplies from approved suppliers; execute weekly food and supply inventories, maintaining appropriate inventory levels; execute purchasing responsibilities under the rules, regulations, and ethical practices established by the department and university.
  • Collaborate with the preparation and communication of University Catering contracts, maintain effective customer and intra-university relations; outline menus and arrangements, making sure to note guarantee information and all contractual agreements.
  • Monitor the maintenance and repair needs of the building and equipment; report problems to proper personnel; and assist in maintaining the building and equipment in excellent, safe, and well-repaired conditions at all times.
  • Establish, evaluate, and execute personal and unit goals, contribute to departmental goal setting and achievement; serve in a contributory and effective manner on teams, committees, and task forces.
  • Observe safety and security precautions to prevent personal or employee injury, and theft of university or employee property; maintain personal and unit keys in a safe manner to prevent unauthorized use; unlock facility for the day’s operation and/or secure the facility for periods of closure.
  • Perform other related duties as assigned.
