As a member of the Advancement Services and Prospect Development team and reporting to the Senior Director of Advancement Services, the Assistant Director of Gift Processing manages the Gift Processing department, as well as personally batching and processing gifts into the database of record (Raiser’s Edge NXT).
The Assistant Director will take a leading role in establishing and following internal controls, validation and quality assurance processes to ensure constituent and gift records are accurate, and will oversee management of documentation and record keeping ensuring compliance to donor intention.

Job Function:

As a member of the Advancement Services and Prospect Development team and reporting to the Senior Director of Advancement Services, the Assistant Director of Gift Processing manages the Gift Processing department, as well as personally batching and processing gifts into the database of record (Raiser’s Edge NXT).
The Assistant Director will take a leading role in establishing and following internal controls, validation and quality assurance processes to ensure constituent and gift records are accurate, and will oversee management of documentation and record keeping ensuring compliance to donor intention.

Minimum Education:

Bachelor’s Degree from an accredited institution, or in lieu of Bachelor's Degree an Associate Degree and two or more additional years of related experience.

Minimum Experience:

At least one year of related experience and/or experience in banking, accounting, retail cash management.

Preferred Experience:

  • A working knowledge of Blackbaud Raiser’s Edge 7/RE NXT, or another donor focused CRM (Advance, Salesforce, Ellucian)
  • Gift entry experience in a non-profit organization or higher education institution.
  • Supervisory experience

Duties and Responsibilities:

  • Manage the Gift Processing Department and all day-to-day operations. Establish and follow procedures for accurate and timely batching, processing and receipting charitable gifts in compliance with IRS regulations and BSUF policy.
  • Supervise the gift processing hourly staff member. Make recommendations in all areas related to supervision, including but not limited to interviewing and selection, compensation, discipline and performance appraisals and training and career development.
  • Oversee the deposit of all checks and cash for Ball State University Foundation, Ball State Alumni Association, Cardinal Funds, Cardinal Properties and other supporting organizations.
  • Comply with IRS guidelines and maintain knowledge and understanding of CASE guidelines. Develop and maintain internal controls related to the handling of cash, checks and credit cards and to the proper storage and maintenance of gift documentation.
  • Create high-quality, reliable audits for all gifts to ensure database accuracy; Perform audits, make updates, identify trends that could be impacting gift data integrity and recommend solutions and proactive strategies to address accuracy.
  • In collaboration with Senior Director of Advancement Services, support process improvements that create efficiencies for gift processing. Maintain and update process and procedure documentation related to gift processing and gift administration.
  • Under the guidance of Senior Director for Advancement Services develop, data queries, exports, reports or dashboards within Raiser’s Edge/RE NXT related to giving initiatives, goals or key performance indicators.
  • Serve as the point person for Gift Processing Department. Partner and support Foundation teams by sharing knowledge and expertise related to gifts/pledges, event registration fees, donor acknowledgments, IRS guidelines, and CASE standards.
  • Manage multiple projects at one time and meet deadlines.
  • Perform other related duties as assigned.
