Summary

The Margaret M. and Albert B. Alkek Department of Medicine at Baylor College of Medicine is seeking a highly motivated and detail-oriented Senior Coordinator, Program Management to join our team. The Senior Coordinator, Program Management provides advanced administrative management for one or more Graduate Medical Education (GME) programs and partners with the Medical Education Program Management, Residents or Fellows, the Program Director, and the Section(s) Director of Business Operations and will manage Accredation Council for Graduate Medical Education (ACGME)/GME annual requirements for managed programs while being fiscally responsible for maintaining the yearly education budgets for each program.

This position has the flexiblity to be hybrid after a 90 day training period.

Job Duties

• Functions as a liaison between the residents/fellows, program director, faculty, program leadership, human resources, participating sites, and other internal departments and outside agencies, i.e. American Board of Internal Medicine (ABIM), Accreditation Council for Graduate Medical Education (ACGME), Electronic Residency Application Service (ERAS), National Residency Matching Program (NRMP) and other medical boards.
• Manages all administrative ACGME requirements, including ACGME ADS update, duty hours, ACGME milestone evaluations, ACGME resident/faculty surveys, training verifications, rotation/trainee curriculum, and case logs.
• Maintains accurate records of all trainees’ electronic files, ACLS status, permit/licensure status, rotation schedules, rotation billing, MedHub evaluations, parking, educational conferences, Concur, and travel expenses.
• Maintains processes for tracking data, rotations, case/procedure logs, work hour compliance, evaluations, scholarly activities, QI/Patient Safety projects, licensure, and vacation/sick time.
• Generates faculty and resident list for institutional Clinical Learning Environment Review (CLER) visit.
• Manages and coordinates the interview season for each program. IM/Subs – One Sr. Coordinator for multiple programs-will vary, 100+ applicants
• Manages and coordinates all orientation, onboarding, and credentialing for IM/Subs – One Sr. Coordinator for multiple programs vary, 20-30 incoming fellows.
• Conducts training sessions based on system knowledge and expertise.
• Processes all aspects of educational appointments and reappointments in compliance with departmental and institutional policies, and government regulations.
• Coordinates holiday events and graduations.
• Performs other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience with ACGME and GME.
  • Proficiency in Microsoft Office programs.
  • Possess advanced administrative skills.
  • Ability to have diplomacy and maintain positive working relationships with coworkers, including faculty, learners, and administrative leaders, promoting good customer and departmental relationships.
